Work order details
Describe the issue: the unit isn't turning on at all, is running but not heating or cooling, is blowing warm air, is making unusual noises, or is displaying an error code, and how long this has been happening.
Scope of work requested
– Diagnose the cause (power/breaker issue, thermostat malfunction, refrigerant level, failed compressor or fan motor, clogged filter, or frozen coil).
– Repair or replace the failed component and confirm the unit powers on and responds to the thermostat.
– If the issue is refrigerant-related, identify and address any leak before recharging the system.
– Test heating and cooling operation through a full cycle to confirm the unit reaches and holds the set temperature.
– Remove any replaced parts or debris and leave the work area (mechanical room, rooftop, or closet) clean.
– Provide a brief summary of the cause and any recommendations to prevent recurrence (a filter change schedule, an aging unit, undersized equipment for the space).
HVAC-specific checks before submitting
In addition to the general checklist in the Work Order Best Practices article, confirm these were tried and noted for this specific issue:
☐ Checked the breaker or disconnect box near the unit and confirmed power is not tripped, and reset it once if it's safe to do so.
☐ Noted the unit's location and height (rooftop, ground-level pad, mechanical room, or ceiling-mounted), so the vendor arrives with the right access equipment.
☐ Noted the unit's make, model, and specifications from the nameplate, if accessible, so the vendor arrives with the right parts.
☐ Checked and, if needed, replaced or noted the condition of the air filter, since a clogged filter is a common cause of poor airflow or freezing.
☐ Confirmed the thermostat has power, is set to the correct mode and temperature, and isn't the source of the issue.
Not including the breaker/power status, unit location and height, or equipment specifications may introduce delays — the vendor may need to make a return trip once they have the correct part or equipment.
